Overview
The Non-Financial Data feature in Joiin allows you to capture, consolidate, and report on key business metrics alongside your financial data. This powerful feature enables you to create comprehensive reports that combine financial performance with operational KPIs, providing a complete picture of your organisation's performance.
Using Non Financial Data
Once you've loaded your non-financial data items (see below) they become accessible in your standard KPI report and, from there, you can use them in a number of ways to produce the reports and metrics you need.
Custom Layouts
You can use Non Financial Data KPI items within Formulas in your Custom Layouts. This allows you to combine non-financial data with financial data produce a metric (for example Revenue per Head).
Non-Financial Data items appear in the Formula Editor with the red N icon - so they can be easily used along with KPIs, Groups and other Formulas to build custom KPIs.
Dashboard
Using the Custom KPI dashboard widget you can display Non Financial Data KPIs directly on a Dashboard - or you can pick from a pre-created Layout formula to display custom metrics you have created yourself.
Report Packs
Like on the Dashboard, you can add Charts to Report Packs with Non Financial KPIs or custom formulas built with Non Financial Data.
Loading Non Financial Data
You can view and manage non-financial data via the Non-Financial Data option on the Settings (cog) menu at the top right.
Viewing Data
The Non-Financial Data page shows a list of all Non-Financial Data items with the values set for each item by year. Each item is a specific non-financial metric that you wish to include in your reporting, such as Head Count, NPS Score, Throughput etc. etc. You can name the items as you wish.
Each item has a Name, Description, Unit and Aggregation method - see below for more information.
You can change the year you are viewing the data for by selecting from the Year dropdown.
Adding Data
You can add non-financial data in one of two ways: manually or via CSV file upload.
Adding Manually
To add manually, simply click on the Add Item button. The following options are available:
Item | Description |
---|---|
Name | The name of the data item, e.g. Head Count. |
Description | The description of the data item. |
Unit | The unit of the data item. Controls how the KPI is displayed in reports. Choose from: Number - value displayed as a number Percentage - value displayed as a percentage Currency - value displayed with a currency symbol |
Aggregation | This controls how values are aggregated when multi-month periods are selected. e.g. for a metric such as NPS Score, for a particular Quarter you might want to see the average across 3 months, rather than the sum of all 3 months, which wouldn't make sense. Choose from: Sum - the values are added together Start Balance - the value of the last month is used End Balance - the value of the first month is used Average - the average of the values is used Minimum - the maximum of the values is used Maximum - the minimum of the values is used Median - the median value is used |
Once you've entered the desired properties, click on the Add Item button to add the item.
The values for each month will be populated with zero - you can then enter each value as required.
Click on Save Changes to save the item. Your data will now be available in the standard KPI report.
Uploading Items
You can upload items from a CSV file. Simply click on the Upload File button.
The CSV file must be in the following format:
- The first row must be a header row with the following values: name, description, unit, aggregation, months..
- Any number of months may be included but must be consecutive.
- Unit and Aggregation must match one of the values listed above.
- See sample file attached to this article.
Once uploaded be sure to click on the Save Changes button to save your items.
If you re-upload a file, any month values for data items existing with the same name will be overwritten.
Editing Items
Once entered, you can edit the properties of an item by clicking on the edit icon next to the item name.
You can change the item values but editing the values directly on screen or re-uploading a file.
Be sure to click on the Save Changes button to save your changes.
Deleting Items
To delete an item, click on the Delete icon next to the item name.
NOTE: If you delete an item, any formulas you have created that reference that item will become invalid. You can edit the formulas as required to remedy this.
Coming Soon
In the future we will be adding connections to popular applications to allow Non Financial Data to be pulled into Joiin automatically. We will also be enhancing our Joiin Connect API to allow importing of data so that you can set up automated feeds into Joiin.
