Overview

Report Packs allow you to produce PDF and Excel documents containing multiple Joiin reports and charts.  Once created a Report Pack can be run any time it is required and the results printed out or saved as a PDF document.


Report Packs can contain any type of Joiin report with any filters you choose.  You can also add custom reports with charts providing an incredibly flexible way of tailoring packs to your needs.

Adding a Report to a Pack


The best way to get started with Report Packs is to simply add a report to a pack.  To do this simply run any report with the desired filters applied (e.g. Year to date, compare to Previous Period) then click on the Add to report pack button.




Now you can select an existing Report Pack or click on the Add new button to create a new Report Pack.




Enter the name of your new Report Pack and click on Next.  On the next screen you can change the name of the report that will be displayed in the Report Pack and, depending on the report filters you selected, choose to make the dates dynamic.

Click on Add and the new report pack will be created and the report added to it.



TIP: You can preview the report pack by clicking on the Preview link in the green message that is displayed in the bottom right.



Once you've created a Report Pack you can add more reports to it by simply running other reports, clicking on Add to report pack button and selecting the Report Pack you want to add it to.


Running or Downloading a Report Pack


When you run or download a Report Pack Joiin will run all the reports contained within using your latest refreshed data.


Once you've created a Report Pack you can run or download it through the Report Packs page on the left menu.  The Report Packs page shows a list of Report Packs you've created.  




Downloading PDF


To download a Report Pack PDF simply click on the download button next to desired report pack and select PDF.  Your PDF will be downloaded to your computer.


Downloading Excel


To download a Report Pack as an Excel file simply click on the download button and select Excel.  Your Excel file will be downloaded - the Excel file contains a separate worksheet (tab) for each report within the Report Pack.


Note that any charts you have in your reports will not appear in the Excel version.



Running in a Browser


To run a Report Pack directly in the browser simply click on the report pack name.  The Report Pack will open up a new browser tab with the results.


You can view the report by scrolling down to see each report - each report will be presented on a separate page as it will appear if downloaded to a PDF.


Presentation View


You can also view the report in Presentation View. This displays the report in a "pageless" view, without any page breaks or margins and can be useful if presenting the report pack on a screen. Click on the Present button at the top right to enter Presentation View.



To return to page break view select Exit Presentation View from the three-dot menu.



Downloading a PDF of the Report Pack

When viewing the report in a browser you can download to PDF or Excel by selecting those options from the three-dot menu.





Editing a Report Pack

You can edit a report pack, change/add/remove individual reports or alter the theme and cover page. To do this first run the report in a browser as above. You will then have options to edit the report pack as you scroll through it.


Editing the Cover Page and Theme

You can make changes to the Report Pack cover and theme (colours used in certain places on the report pack) by clicking on the Edit button that appears when you hover over the cover page.


By default, Report Packs will use the Brand Colours that you set on the Account screen. You can override this and choose specific colours for each individual report pack.


NOTE: As you change the colours you can see the effect in the Report Pack to the left and you can scroll up and down to see the effects throughout the report.

Light/Dark ModeSwitch between light and dark modes. The different modes, as well as being light and dark, also use the selected Primary and Secondary colours differently, giving you more options to get the right look you need.
Primary/Secondary ColoursClick on the Primary and Secondary colour boxes to choose the colours you wish to use. For more information on how the colour picker works see this article.
Cover ImageClick on the Change cover image button to select the cover image for your report pack. There are a number of images you can select from. Click on the image to change the cover page.



If you wish to revert the colour scheme back to the brand colours simply click on Reset.


Once you're happy with your selection click on the Save button and the theme will be saved permanently against the report pack - whenever it is run it will use this theme.



Editing Individual Reports

As you scroll through each page, an edit and delete icon appears at the top right as you hover over it.

Click on the Edit icon to bring up the Edit side-panel. In here you can change the title of the report, add commentary and change all the filters that control what the report displays, such as companies, date range, budgets etc.


Once you've made the required changes, click on Save and the updated report pack results will be displayed.


A note on Dynamic Dates


Choosing Dynamic Dates means that the dates used when the report pack is generated will depend on the current date. When you switch the Dynamic toggle on the report Dates will be set to a "dynamic" setting such as "This month" or "This calendar quarter to date". Then, when the report pack is generated the report will be produced using the current dates - so, for example, if you have set it to "This month" and the current month is August 2023, the report will be run for August 2023.


When you switch the toggle on Joiin will choose the dynamic setting based on the start and end dates that were set before the toggle was switched on. If no dynamic setting matches the start and end dates then the default, 


Deleting a Report


You can also delete a report from the report pack by clicking on the delete icon.




Changing the Report Pack Logo


You can change the logo that appears on your report pack through the Account screen.  See this article for more information.


Printing a Report Pack

To print a report pack you first download the PDF as above and then print that.


Adding Custom Reports and Charts


You can add any type of report to a Report Pack and that includes Custom Reports.   Custom Reports give you great flexibility to format reports the way you want.  They also now allow you to create Charts and give you control over Page Breaks.

Re-ordering Reports


You can change the order of reports in a Report Pack.


  • Select Report Packs from the left menu.
  • Click on the Edit icon next to the Report Pack you wish to edit.
  • A list of all the reports within the report pack is displayed.
  • Click on the three-dot menu at the top right of the report you wish to move and select the desired Move option.
  • Click on Save to save your changes.


Renaming Report Pack


You can rename the report pack.


  • Select Report Packs from the left menu.
  • Click on the Edit icon next to the Report Pack you wish to edit.
  • Change the name at the top as required.
  • Click on Save to save your changes.



Fixing Report Pack Issues


Sometimes, if you remove Companies or Groups from your account or change the Company import dates, previously created Report Packs can be come invalid.  If this happens a message will be displayed on the Report Packs page as below.



Issues can be easily fixed by clicking on the Edit button - this will open the report list page and show you which reports have issues.  You can then click the Fix button on each one to fix the issues.




The filters that have changed and/or need to be addressed will be highlighted with their previous values noted if appropriate.  Fix any issues and click on the Accept when done.  Don't forget to click the Save button on the report list page to save your changes. 




Creating a blank Report Pack


An alternative way to create a report pack is by creating a blank report pack which can then have reports added to it.  To do this:


  • Select Report Packs from the left menu
  • Click on the  Add pack button
  • Enter a name for your report pack
  • Click the Add button




Emailing Report Packs


You can automate the sending of Report Pack emails. Emails will be sent to the selected user with a PDF and/or Excel version of the Report Pack attached.


Scheduling Emails


  • Select Report Packs from the left menu.
  • Click on the Share button next to the Report Pack you wish to schedule.


  • You have the option to Schedule email or Send email now - select the Schedule email option.




  • Select the schedule, Weekly or Monthly
  • If Weekly selected, select the days of the week you wish the report pack to be emailed
  • If Monthly selected, select the day of the month you wish the report pack to be emailed
  • In the Upcoming section you will see the next three dates the emails will be sent
  • Select the Format - PDF and/or Excel
  • Select the users you wish the email to be sent to - the list will contain all the users that are already part of your Joiin team. Check the ones you wish to receive the email.
  • You can add additional emails, for people who are not part of the team by clicking on the Add external user link.
  • You can invite new users to Joiin by clicking on the Invite New user to join link - this will take you to the User Management page



  • Enter the email address and name of the recipient to add them to the list.
  • Click on Update Schedule button to schedule the emails.
  • The Schedule icon will turn blue to indicate the report pack has been scheduled.


Unsubscribing

Any user who receives a report pack email can unsubscribe at any time by clicking on the unsubscribe link in the email. If they do this they will be removed from the list of users in the report pack schedule.



Delete a Schedule


You can cancel a schedule so that no more emails are sent for a Report Pack by clicking on the Delete Schedule button.


Sending an Email Now


You can email a Report Pack to users at any time, by selecting  the Send email now  option.


  • Select Report Packs from the left menu.
  • Click on the Share buttonto the right of the Report Pack to be emailed and select Send email now .
  • This opens a popup




  • Select the format: PDF and/or Excel.
  • Select the users you wish the email to be sent to - this will display all the users that have been invited. You can invite any additional users via the User Management page should you wish.
  • You can add additional emails, for people who are not part of the team by clicking on the Add external user link.
  • You can invite new users to Joiin by clicking on the Invite New user to join link - this will take you to the User Management page
  • Click the Send Now button.
  • Emails will be sent to the selected recipients, with the Report Pack attached.
