Overview

The Accounts Receivable (A/R) Ageing Report shows the total of unpaid invoice amounts due by customer broken down by age (which is based on the invoice due date).  The report is split into columns for each ageing period.  An ageing period is a window of time, measured in days - the report shows the amount due during that period of time.




NOTE - QuickBooks and Sage ONLY - this report is based on the due date of current unpaid invoices only - it does not include Credit Notes, Payments or Journal Entries - it therefore may not fully show the overall balance owed by a customer at different periods or match A/R on the Balance Sheet.


NOTE - Xero only - this report is based on the due date of current unpaid invoices, credit notes and payments - this report does not include - Prepayments and Overpayments if they are not allocated to Bills.


You can see the specific dates each period represents by hovering over the column headings.


Report Filters

By default the report shows ageing relative to the current date, uses an ageing period of 30 days and shows 3 periods (as well as the Current and Older periods).  You can change these settings by changing the report filters.  As well as the standard Company and Currency filters (see Running Reports section for more information on these) the following filters are available.


FilterDescription
DateThe date relative to which the ageing is shown. Ageing is based on Invoice Due Date.

Ageing Period (Days)

The number of days to include in each period.
Number of PeriodsThe number of periods to show.


View by Company

You can view the results broken down by Company by selecting the View by Company toggle.



Top 10

You can filter the results to only show the first 10 by switching on the Top 10 toggle.  The first 10 results will be shown based on the current sort order - see below.


Sorting

You can sort the results by clicking on the column headings.  Clicking once will sort ascending, clicking again will sort descending.  The arrow icon next to the column heading shows the current sort order.  Combining this with the Top 10 toggle gives you the ability to hone in on the most important results.


Drilldown - Viewing Invoices and Customer Contact Info

To view the details of the Invoices that are due from a customer and the contact details for that customer, click on the customer name.  The contact details including and telephone numbers, contact name and email will be shown below the customer name. In addition, all the outstanding invoices for the entire period will be shown with the due date and amount due.  Click on the customer name again to hide this info.
